Administrative Assistant

Innovative Solutions for Disadvantage & Disability (ISDD), has an exciting opportunity for an experienced individual to provide administrative support for our mission to empower, educate, and equip kinship caregivers of disadvantaged children in Metro Atlanta. Our service population is made-up of kinship families, grandparents or other relatives who are raising non-biological children with disabilities in the Atlanta Metro Area. With an annual budget of $500,000 and a staff of five full-time employees, we serve more than 600 adults and children each year.

JOB SUMMARY

The Administrative Assistant provides administrative support, including data entry, letter composition, filing, photocopying, faxing, mailing, word processing and other administrative tasks to ensure the success of ISDD’s mission.

DUTIES AND RESPONSIBILITIES

  • Accurately maintain donor database, including entering and updating donor information/contributions and preparing gift acknowledgements within three days of receipt

  • Reconcile fundraising data entry with accounting

  • Prepare fundraising reports

  • Create merged mailings

  • Prepare and verify financial documents, including billing, invoices, expense reports, credit card statments and check requisitions

  • Scan documents, upload to shared drive and maintain document files

  • Coordinates ordering of office supplies, postage and shipping/mailing supplies

  • Assists with meetings and events, ordering refreshments and other tasks

  • Prepare board meeting documents, board manuals and other board materials, updating them as necessary

  • Update grants calendar

  • Provide administrative support for the annual golf tournament

  • Print newsletters and prepare them for mailing

  • Assist with ISDD’s social media presence and email campaigns

  • Provide general administrative support as needed by the organization

  • Provide information via telephone and email for public inquiries regarding ISDD services

  • Greet or provide receptionist duties as necessary for callers, visitors and executives

  • Attend all meetings and trainings pertaining to this position.

  • Other duties as assigned

  • KNOWLEDGE AND SKILLS

  • Strong verbal and written communication skills, including proper business English

  • Detail oriented with strong organizational ability

  • Skilled in database use, Network for Good platform experience a plus

  • Proficient with Microsoft Office, particularly Word, Excel, Outlook and Publisher

MINIMUM QUALIFICATIONS

  • High School Diploma or GED and at least 3 years of administrative experience or Associate’s or undergraduate degree from an accredited college or university in business, administration, clerical, computer sciences or closely related field and at least two years of experience in general office duties.

  • Must be able to work some evenings and have reliable transportation, current auto insurance and a valid Georgia driver's license.  

  • Applicant must be fully vaccinated against COVID-19 or received an initial dose of the COVID-19 vaccine by date of hire to be considered for employment.
